Audience: The guide was created for district employees who travel infrequently or work across multiple districts. These users often needed hands-on assistance because they rarely logged into the system and weren't familiar with the pre-approval workflow. The training was designed to reduce the repetitive burden on administrative assistants and fiscal staff who were fielding the same questions during every travel period, and to eliminate the need for recurring live training sessions by giving employees a self-service resource.
Process: The training was designed around a clear knowledge gap identified through the volume of repeated inquiries staff were receiving. The goal was to translate a process that previously required one-on-one guidance into something employees could work through independently. Content was structured to walk users step by step through an unfamiliar system in the clearest way possible.
Outcome: The training reduced the number of repeated questions directed at administrative and fiscal staff during travel periods. It also removed the dependency on live training sessions by giving employees an on-demand reference they could return to at any point in the process.
