The volume of repetitive questions reaching administrative staff made it clear that a self-service reference was needed — one that faculty could consult on their own without requiring individual follow-up each time the process came up.
Process: The job aid was built around the specific steps outlined in the AFT contract, which weren't always intuitive to faculty navigating them for the first time. The content was organized as a clear, sequential walkthrough of the stipend timeline, with annotated screenshots included at each stage of the Adobe Sign process to help users understand exactly what they were seeing and what action was expected of them.
Outcome: The job aid reduced the volume of repetitive inquiries directed at administrative staff by giving faculty a reliable reference they could use independently. It also produced a more consistent understanding of the stipend process across the department, ensuring faculty followed the correct steps regardless of how frequently they engaged with the contract or how many districts they worked across.
